About the Role

The Accounts Payable Coordinator plays a pivotal role in the financial management of a diverse property portfolio. This position is responsible for ensuring the smooth operation of accounts payable processes, from the receipt and verification of invoices to the timely payment of suppliers. As part of a supportive finance team, the coordinator will be instrumental in maintaining the highest standards of financial integrity and compliance.

Day-to-day, the role involves managing a high volume of supplier invoices, ensuring accuracy and efficiency in data processing, and maintaining strong relationships with suppliers and tenants. The coordinator will work closely with the Senior Accounts Payable Coordinator and be part of a team that values service excellence and compliance.

The role also requires excellent communication and organizational skills, as the coordinator will be the primary point of contact for suppliers and internal stakeholders regarding accounts payable inquiries.

What You Will Do

  • Process property invoices with precision, ensuring all transactions are accurately recorded and paid on time.
  • Manage fund transfers in accordance with established schedules to maintain cash flow and supplier relationships.
  • Resolve supplier queries in a professional and timely manner, providing support as needed.
  • Process tenant recharges and insurance claim invoices, ensuring all financial obligations are met.
  • Oversee on-site staff wage processing, ensuring payroll accuracy and compliance with labor laws.
  • Maintain and update the Qube database, ensuring data integrity and security.
  • Set up and manage supplier records, adhering to company policies and procedures.
  • Conduct bank reconciliations to ensure financial statements are accurate and up-to-date.
  • Respond to auditor queries and provide requested information to facilitate audits and compliance checks.
  • Produce accounts payable statistics and reports to inform financial decision-making.
  • Provide ad hoc support for the Senior Accounts Payable Coordinator as required.
  • Carry out administrative duties to ensure the efficient operation of the accounts payable function.

What We Are Looking For

  • Prior experience in accounts payable or a related field, with a proven track record of managing high volumes of invoices.
  • Strong accuracy and attention to detail in data processing, with the ability to work under pressure.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication abilities, with the capacity to build rapport with suppliers and internal stakeholders.
  • Proficiency in Microsoft Office, particularly Excel, and experience with database management.

  • Knowledge of financial regulations and compliance standards relevant to the property management sector.
