What You Will Do

  • Coordinate with the Project Coordinator to onboard new consultants, agencies, or contractors
  • Set up email accounts for consultants and send welcome emails to the organization
  • Manage consultant certifications, ensuring expiration dates are up to date
  • Maintain the organization's Google Drive, ensuring all documents are current and easily accessible
  • Create payment spreadsheets for the Chief Financial Officer
  • Assist with processing accounting-related documents
  • Coordinate with the Business Administrator on client collections
  • Generate financial reports for brands, agencies, or independent consultants
  • Work with the Human Resources Director to schedule interviews with applicants
  • Coordinate with agencies when the HR Director is not available
  • Ensure all documentation is signed for agency agreements
  • Create Docusign for Independent Contractor Agreements and other communications

What We Are Looking For

  • 2+ years of experience in an administrative or bookkeeping role
  • Strong digital skills, including Google Suite and Microsoft Office
  • Excellent organizational and time management skills
  • Ability to work independently in a remote environment
  • Strong attention to detail and ability to maintain accurate records
  • Excellent communication and interpersonal skills
  • Ability to maintain confidentiality and handle sensitive information
  • Experience with accounting software and financial reporting
