About the Role
As an Administrative Assistant at Military, Veterans and Diverse Job Seekers, you will play a critical role in ensuring the smooth operation of the office. Your day-to-day tasks will involve managing calendars, coordinating meetings, and maintaining office supplies. You will work closely with the team to provide administrative support and ensure that all tasks are completed efficiently.The ideal candidate will have excellent communication skills, be highly organized, and have the ability to work under pressure. You will be responsible for maintaining confidentiality and handling sensitive information with discretion.
The team you will be working with is dynamic and fast-paced, and you will be expected to be flexible and adaptable in your approach. You will report directly to the senior management team and will be responsible for providing administrative support to the entire team.
What You Will Do
- Coordinate office activities, including managing calendars and scheduling meetings
- Maintain office supplies and materials, including ordering and stock management
- Provide administrative support to the team, including preparing documents and reports
- Coordinate travel arrangements and itineraries for team members
- Manage and maintain the Advance Analytics Center SharePoint site
- Organize content for the office IPTV system
- Coordinate new vendor creation and create new purchase requisitions
- Process expense reports utilizing an online system
- Provide administrative support for the team's advanced analytics platforms
- Maintain user-group lists and generate monthly reports
- Coordinate work performed by vendors and serve as the single point of contact
- Screen telephone calls and office visitors and resolve routine and complex inquiries
What We Are Looking For
- Minimum 5 years of secretarial or administrative support experience
- Associates degree or higher preferred
- Excellent communication and organizational skills
- Ability to work under pressure and meet deadlines
- Proficiency in Microsoft Office applications, including Excel, Word, and Outlook
- Experience with SAP Ariba and SAP Concur is a plus
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong problem-solving and time management skills
- Ability to work independently with little supervision
