About the Role
The Administrative Officer position at Oikonomakis Law Firm is a full-time, remote role that requires the successful candidate to handle the company's administrative and secretarial operations. This includes managing inquiries from customers, handling incoming orders, and preparing paperwork and supporting documents via ERP. The ideal candidate will have excellent communication skills, the ability to work independently, and strong organizational skills.As an Administrative Officer, you will play a critical role in ensuring the smooth operation of the company's administrative tasks. You will be responsible for managing multiple tasks simultaneously, prioritizing tasks, and meeting deadlines. Your ability to work effectively in a remote setting and communicate with colleagues and clients will be essential to your success in this role.

What You Will Do
- Handle inquiries from customers via email and forward them to suppliers to obtain quotations
- Follow up with suppliers to obtain offers and receive parameters needed to convey to clients
- Prepare and send final offers to clients via ERP
- Handle incoming orders from clients, track offers, and prepare/send orders to suppliers
- Prepare paperwork and supporting documents via ERP, including order acknowledgments, packing lists, labels, and proforma invoices
- Follow up with suppliers for order readiness and send readiness advice to clients
- Invoice completed orders via ERP and send invoices to clients' designated email addresses
- Utilize Excel to manage and analyze data
- Provide administrative support to the team as needed
What We Are Looking For
- Excellent command of English (written and spoken)
- Knowledge of Odoo software (or similar ERP systems)
- Office suite knowledge, including Excel, Word, and PowerPoint
- WINDOWS and IOS knowledge
- Minimum 3-5 years of professional experience in administration or executive support
- Strong multi-tasking, organizational, and communication skills
- Good understanding of administrative processes
- Integrity, professionalism, and discretion are essential
- Experience in the shipping-marine sector (preferably in the sales department)

- Experience with other ERP systems
- Knowledge of accounting principles and practices
