## About the Role The Ancillary Meeting Manager role at BCD Travel is a pivotal position that focuses on creating exceptional experiences for clients through the meticulous planning and execution of ancillary meetings. Day-to-day, the Ancillary Meeting Manager will be deeply involved in client counseling, ensuring that all financial and compliance controls are adhered to. This involves maintaining strong relationships with clients, understanding their needs, and delivering solutions that meet their objectives. The role also entails managing vendor relationships, ensuring that all logistics and event registrations are handled efficiently, and maintaining detailed documentation of all processes.

## What You Will Do - Manage all phases of ancillary meetings associated with Congresses, from planning to execution.
- Serve as the primary liaison for clients, ensuring adherence to financial and compliance controls.
- Handle attendee management processes, including event registrations and communication.
- Maintain documentation, manage logistics, and ensure timely communication throughout the engagement.
- Review supplier bills, manage budgets, and maintain an audit-ready environment.
- Actively seek process improvements and provide valuable insights to clients on best practices.
- Collaborate with internal teams to ensure alignment with client objectives and company standards.
- Develop and implement engaging event concepts that meet client needs and expectations.
- Conduct research to stay updated on industry trends, best practices, and new technologies.
- Participate in strategic planning sessions to contribute to the growth and development of the meetings and events portfolio.
- Foster strong relationships with vendors and suppliers to negotiate favorable terms and ensure high-quality services.
- Proven experience in account/client management and vendor negotiation.
- Strong organizational, communication, and customer service skills.
- Pharmaceutical industry experience is highly desirable.
- Fluent English, as it is the working language.
- Ability to work in a fast-paced environment and manage multiple projects simultaneously.
- Strong problem-solving skills and attention to detail.
- Experience with event management software and digital tools.
- Certification in event planning or a related field is a plus.
- Understanding of compliance and regulatory requirements in the events industry.
- Knowledge of sustainable event practices and how to implement them.
- Familiarity with data analysis tools to measure event success and ROI.
- Certification in project management or a related field.
