About the Role

The Assistant Account Payable position at The Obesity Society is a critical component of the organization's financial management team. As an integral part of the accounting department, this role entails a wide range of responsibilities, from processing invoices to generating financial statements. The successful candidate will be responsible for maintaining the company's accounting files, ensuring accuracy and attention to detail in all financial transactions.

The team context for this role is collaborative and dynamic, with the Assistant Account Payable working closely with the Director of Finance & Operations to ensure seamless financial operations. What You Will Do

  • Process invoices, including stamping, coding, and approval stamps, as well as entering coded invoices into accounting software
  • Maintain and update the accounts payable ledger to ensure accuracy and completeness
  • Generate financial statements and reports as required by the Director of Finance & Operations
  • Conduct administrative duties, including office support, filing, data retention, and mail management
  • Print, mail, and file checks for multiple properties
  • Resolve issues with vendors, including past due balances and misapplied payments
  • Conduct company business in accordance with established policies and procedures
  • Maintain confidentiality of financial information and adhere to data protection policies
  • Perform data entry tasks with high accuracy and attention to detail
  • Utilize Microsoft Excel, Word, and Outlook for various tasks and communications

What We Are Looking For

  • High School Diploma or equivalent required
  • Basic understanding of accounting fundamentals or 1 year of accounting experience
  • Excellent computer skills, particularly in Microsoft Excel, Word, and Outlook
  • Experience with data entry and/or 10 key by touch
  • Familiarity with Yardi or other accounting software is an asset
  • High degree of accuracy, attention to detail, and ability to follow through on tasks
  • Professional written and oral communication skills
  • Ability to maintain confidential information and work with discretion
  • Prompt and consistent attendance during scheduled work hours
