About the Role
The Assistant Account Payable role at The Obesity Society is a vital position that requires a high degree of accuracy, attention to detail, and excellent organizational skills. As a key member of the financial team, the Assistant Account Payable will be responsible for managing accounts payable transactions, resolving vendor issues, and maintaining financial records. The ideal candidate will have a basic understanding of accounting fundamentals, excellent computer skills, and experience with accounting software.The role involves working closely with the Director of Finance & Operations to ensure that all financial transactions are processed efficiently and accurately. The Assistant Account Payable will also be responsible for maintaining the company's accounting files, processing invoices, and generating financial statements. In addition to these responsibilities, the Assistant Account Payable will also provide administrative support, including filing, data retention, and mail management.

What You Will Do
- Process invoices, including stamping, coding, and approval stamps, and entering coded invoices into accounting software
- Maintain and update the accounts payable ledger, ensuring that all transactions are accurate and up-to-date
- Generate financial statements and reports, including accounts payable reports and vendor statements
- Resolve vendor issues, including past due balances, misapplied payments, and other disputes
- Print, mail, and file checks for multiple properties
- Provide administrative support, including filing, data retention, and mail management
- Conduct company business according to policies, ensuring that all transactions are processed efficiently and accurately
- Maintain the company's accounting files, including accounts payable files and vendor records
- Provide excellent customer service to vendors and other stakeholders
- Assist with special projects, including budgeting and forecasting
- Develop and implement process improvements, including streamlining accounts payable procedures
- Collaborate with the Director of Finance & Operations to ensure that all financial transactions are processed efficiently and accurately
What We Are Looking For
- High School Diploma or equivalent
- Basic understanding of accounting fundamentals or 1 year of accounting experience
- Excellent computer skills, including Microsoft Excel, Word, and Outlook
- Data entry and/or 10 key experience
- Experience with Yardi or other accounting software
- High degree of accuracy, attention to detail, and ability to follow through
- Professional written and oral communication skills
- Prompt and consistent attendance during scheduled work hours
- Ability to maintain confidential information
- Strong organizational and time management skills
- Ability to work in a fast-paced environment and prioritize tasks effectively
Nice to Have
- Experience with other accounting software, including QuickBooks or Xero
- Certification in accounting or a related field, including CPA or CMA
- Experience in a non-profit or healthcare setting
- Knowledge of financial regulations and compliance requirements
- Experience with budgeting and forecasting
