About the Role

The Campaign Coordinator position at nXscale is designed to support the delivery of advertising campaigns across multiple channels for a growing media agency. This role focuses on operational excellence, ensuring that campaigns are executed smoothly by managing schedules, deliverables, timelines, and campaign records. The ideal candidate will thrive in a structured environment, paying close attention to detail and follow-through.

The day-to-day responsibilities of this role will involve working closely with the media agency team to ensure the timely and effective execution of campaigns. This includes managing media schedules, client deliverables, and campaign trackers, as well as coordinating with team members to identify and mitigate potential risks. The role also involves maintaining accurate and up-to-date campaign records, ensuring that all documentation is consistent and well-organized.

As a key member of the team, the Campaign Coordinator will play a critical role in ensuring that campaigns are launched on time and that all requirements are completed to a high standard. This will involve working proactively to flag upcoming deadlines, risks, or missing information, as well as supporting the team in identifying areas for process improvement.

What You Will Do

  • File, organize, and maintain media schedules across all active campaigns
  • Create and manage client deliverables lists, including assets, formats, specifications, and deadlines
  • Track campaign timelines, milestones, and due dates to ensure that nothing is missed
  • Proactively flag upcoming deadlines, risks, or missing information to the team
  • Maintain accurate, up-to-date campaign trackers and workflows in Notion
  • Coordinate and log receipt of creative assets, approvals, and confirmations
  • Quality-check campaign details for accuracy, including dates, formats, placements, and specifications
  • Support campaign launch readiness by ensuring that all requirements are completed on time
  • Collect and organize proof of placement, screenshots, photos, and completion documentation
  • Assist with post-campaign wrap-up documentation and reporting inputs
  • Keep campaign files, naming conventions, and documentation consistent and well-organized
  • Identify gaps, inefficiencies, or risks in campaign execution and suggest process improvements
  • Support the ongoing improvement of templates, checklists, and workflows within Notion

What We Are Looking For

  • Strong organizational and time-management skills, with the ability to manage multiple campaigns at once
  • High attention to detail and a proactive, problem-solving mindset
  • Experience in media, advertising, marketing operations, or project coordination (preferred)
  • Confidence working in Notion, with the ability to navigate structured databases, task boards, and templates
  • Clear written communication skills and confidence following up on outstanding items
  • Reliable, responsive, and comfortable working remotely with a distributed team
  • Ability to work in a fast-paced environment and prioritize tasks effectively
  • Strong analytical skills, with the ability to identify areas for process improvement
