About the Role
The Client Solutions Coordinator at SweetRush plays a pivotal role in managing the proposal lifecycle, ensuring timely and high-quality submissions. This position is the central hub connecting various teams, including Sales Executives, Solution Design, Legal, and Operations. The Coordinator acts as the 'Air Traffic Controller,' preventing bottlenecks and maintaining the 'Source of Truth' library. This role is designed to eliminate friction in the proposal process, allowing subject matter experts to focus on winning work.The day-to-day responsibilities of the Client Solutions Coordinator involve managing the proposal calendar, assigning tasks, and integrating company-specific information into proposals. This requires a high level of organizational skill, attention to detail, and the ability to work well under pressure.

What You Will Do
- Manage the proposal calendar to ensure no deadline is missed and all stakeholders are aware of their milestones.
- Schedule and manage reviews, assign specific sections to stakeholders, and proactively encourage contributors for timely completion.
- Take ownership of integrating company-specific information, including legal, accounting, and policy documentation, into proposals.
- Perform rigorous final checks on all submissions to ensure 100% hyperlink functionality, consistent formatting, and adherence to client-specific submission guidelines.
- Serve as the primary administrator for client procurement systems and vendor portals, managing logins, credentialing, and document uploads.
- Ensure compliance with all mandatory company data, certifications, and compliance forms within procurement platforms.
- Lead regular 'housecleaning' cycles to archive outdated assets and refresh the central library of proposal content.
- Coordinate with Legal, Accounting, and Operations to keep company policy documentation, financial information, and legal riders current and accessible.
- Act as the primary bridge to the Design team, ensuring Sales Executives have what they need for successful proposal completion.
- Ensure all outgoing proposals and presentation decks align with SweetRush’s professional standards.
What We Are Looking For
- Proficiency in Excel and project management tools.
- Experience in managing proposals or similar documents, preferably in a digital marketing or learning and development environment.
- Strong organizational and time management skills, with the ability to work under pressure and meet deadlines.
