Job Description

About the Role

The CRM Coordinator is a vital part of Decentralized Masters' operations, responsible for managing the integrity and performance of the company's member and prospect pipeline. This involves ensuring the accuracy and timeliness of all contact, deal stage, and communication touchpoints within the HubSpot platform. As a key member of the team, you will work closely with the Director of Community & Operations to ensure seamless relationship management and identify areas for process improvement.

The successful candidate will have a strong understanding of CRM administration, data integrity, and workflow automation. You will be responsible for maintaining a single source of truth for all member and prospect data, proactively identifying and resolving duplicate records, data anomalies, and process gaps. Your attention to detail and ability to continuously improve processes will be essential in this role.

What You Will Do

  • Own the day-to-day administration of HubSpot, including contact records, deal stages, pipeline accuracy, custom properties, and lifecycle stages
  • Maintain a single source of truth for all member and prospect data, ensuring it is clean, current, and actionable
  • Proactively identify and resolve duplicate records, data anomalies, and process gaps before they surface as problems
  • Build and maintain workflows, sequences, and automations that support member acquisition, engagement, and retention
  • Coordinate with the Partner/Origination and Managing Partner teams to ensure pipeline data reflects real-time activity
  • Continuously improve the CRM architecture as the club scales, including new pipelines, new stages, and new segments
  • Track and report on key funnel metrics, including applications, conversions, member tenure, engagement signals, and re-engagement triggers
  • Surface insights to leadership in a clear, concise format, with no noise, just signal
  • Build and maintain dashboards that give the team visibility into pipeline health at a glance
  • Own audience segmentation and list management for outreach campaigns coordinated with the Director of Community & Operations
  • Ensure the right message reaches the right segment at the right time, with results tracked cleanly
  • Support the operational layer of new member onboarding, ensuring the right communications go out on schedule and member records are updated as they move through each stage

What We Are Looking For

  • 2+ years of hands-on CRM or revenue operations experience, with HubSpot as a hard requirement
  • Strong grasp of sales pipeline management, lifecycle stages, and funnel reporting
  • Ability to build workflows and sequences without hand-holding
  • Exceptional attention to detail, with the ability to notice when something is off and fix it before being asked
  • Async-first and comfortable operating in a fast-moving, distributed team across time zones
  • Strong communication skills, with the ability to communicate clearly and effectively with team members and stakeholders
  • Experience with data analysis and reporting, with the ability to surface insights and recommendations to leadership
  • Strong problem-solving skills, with the ability to think critically and outside the box
  • Ability to work in a fast-paced environment, with multiple priorities and deadlines

Nice to Have

  • Experience with other CRM platforms, such as Salesforce or Pipedrive
  • Knowledge of marketing automation and email marketing platforms, such as Marketo or Mailchimp
  • Familiarity with data visualization tools, such as Tableau or Power BI
  • Experience with API integrations and data syncing
