About the Role

The Deputy Program Manager role at VivSoft Technologies is a critical position that requires a high level of detail orientation, organizational skills, and experience in federal program management. As a key member of the team, you will support and lead day-to-day program operations, ensuring seamless execution and continuity in the Program Manager's absence. This role focuses on team coordination, performance tracking, reporting, and compliance within a fast-paced federal environment. You will be responsible for managing daily team coordination, schedules, and action item tracking, as well as preparing and delivering status reports, PMR presentations, and executive briefings.

The ideal candidate will have a strong background in project management, preferably in federal or DoD programs, with excellent coordination, scheduling, and reporting skills. Proficiency in tools such as Microsoft Project, Jira, Power BI, Excel, SharePoint, and ServiceNow is also required. You will work closely with the Program Manager to ensure that all program activities are aligned with the company's goals and objectives, and that all stakeholders are informed and engaged throughout the program lifecycle.

What You Will Do

  • Act as the Program Manager backup, ensuring uninterrupted program execution
  • Manage daily team coordination, schedules, and action item tracking
  • Prepare and deliver status reports, PMR presentations, and executive briefings
  • Track and report KPIs and SLA metrics (SS-1 to SS-23)
  • Oversee staffing activities, including onboarding, offboarding, and clearance verification
  • Coordinate transition activities aligned with PWS requirements
  • Support quality management processes, including audits and corrective action plans (CAPs)
  • Develop and maintain program documentation, including project schedules, budgets, and status reports
  • Identify and mitigate program risks, and develop contingency plans as needed
  • Collaborate with stakeholders to ensure that program objectives are met, and that all stakeholders are informed and engaged throughout the program lifecycle
  • Participate in program reviews and audits, and implement recommendations for improvement

What We Are Looking For

  • Active secret clearance
  • Strong experience in project/program management, preferably in federal/DoD programs
  • Excellent coordination, scheduling, and reporting skills
  • Proficiency in tools such as Microsoft Project, Jira, Power BI, Excel, SharePoint, and ServiceNow
  • Solid understanding of KPI tracking, SLA management, and performance reporting
  • Strong stakeholder communication and documentation skills
  • Experience in staffing coordination and security clearance processes
  • Familiarity with quality management frameworks and audit processes
  • Ability to work in classified environments
  • PMP or CAPM certification is required

Nice to Have

  • Active TS/SCI clearance
  • DoD 8570/8140 IAM Level I (Security+, CAP, or equivalent) certification
  • ITIL 4 Foundation certification
  • Agile certification (CSM, SAFe, or equivalent)
  • Experience with cloud-based project management tools and platforms
  • Knowledge of DevSecOps and cloud security best practices
