About the Role
The Executive Assistant role at Autodesk is a dynamic and challenging position that requires a high level of organizational skill, attention to detail, and ability to work effectively in a fast-paced environment. As a key member of the Entertainment & Media team, you will provide administrative support to the Senior Director, focusing on Flow Studio, and work closely with other executive team members to ensure seamless operations.The successful candidate will be a proactive and detail-oriented individual with excellent communication and interpersonal skills, able to build strong relationships with colleagues, vendors, and stakeholders. This role goes beyond traditional admin support, requiring a strategic thinker who can anticipate potential problems and develop creative solutions.

As an Executive Assistant, you will be an integral part of the team, working on a wide range of tasks, from calendar management and event planning to budget tracking and expense reporting.
What You Will Do
- Manage the calendar of the Senior Director, scheduling meetings, and coordinating travel arrangements
- Track executive expenses and generate expense reports in a timely manner
- Collaborate with the Leadership team to prepare agendas, meeting materials, and document meeting minutes
- Plan and coordinate virtual and in-person events, including logistics, venue, activities, and catering
- Maintain email aliases, distribution lists, and shared directories, ensuring accurate permissions and access
- Collaborate with outsourcing teams on staffing orders, contracts, and ensure local compliance
- Raise purchase orders, verify invoices, and process payments for CW costs and expenses
- Utilize the Supplier Central portal to manage vendors, track approvals, and invoices
- Serve as point person for departmental purchases, including PC tracking and overall asset management
What We Are Looking For
- Bachelor's degree in a related field
- 3-5 years of experience supporting senior executives in a fast-paced, multinational environment
- Exceptional time management, organizational, and multitasking skills
- Strong proficiency in Microsoft Office Suite, Mac and Windows operating systems, and related business applications
- Ability to work under pressure, communicate effectively, and meet deadlines
- Strong interpersonal and written/verbal communication skills in English
- Ability to travel to events or internal meetings, locally and internationally, as required
- Discreet and experienced in handling sensitive and confidential information
Nice to Have
- Experience with AI tools and proficiency in using them
- Familiarity with Slack, Microsoft Teams, and Microsoft SharePoint
- Knowledge of budgeting and financial management principles
- Certification in administrative assistance or a related field
