About the Role

The Executive Assistant role at Zirtual is a vital part of the team, providing high-quality support to busy professionals. As a key member of the team, you will work independently, managing schedules, communications, and day-to-day operations. With a focus on delivering efficient and proactive support, you will play a critical role in streamlining workflows, anticipating needs, and ensuring tasks are completed accurately.

The Zirtual team values work-life balance, and as such, you will have the flexibility to work remotely, with reliable high-speed internet, a computer, and phone. You will receive support from an Account Supervisor, who will assist with client relationships, plan adjustments, quality feedback, and ongoing guidance.

What You Will Do

  • Manage and coordinate complex calendars and appointments across multiple time zones
  • Schedule meetings, calls, and events, anticipating scheduling conflicts and proactively resolving them
  • Monitor and manage inboxes, drafting and responding to emails, and prioritizing communications
  • Prepare documents, presentations, and reports, handling data entry, file organization, and record maintenance
  • Assist with project coordination and task tracking, supporting day-to-day business operations
  • Conduct research and compile information as needed, identifying opportunities to improve processes and efficiency
  • Send weekly usage reports and respond to communication within a two-hour window
  • Maintain detailed client profiles and follow Zirtual's best practices for success
  • Research and book travel arrangements, creating detailed itineraries and managing travel changes
  • Coordinate virtual and in-person meetings or events

What We Are Looking For

  • Strong organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills, with high attention to detail and accuracy
  • Ability to work independently in a remote environment, maintaining confidentiality and professionalism
  • Associate's or Bachelor's degree in Business Administration or a related field (or equivalent experience)
  • 2-4+ years of experience as an Executive Assistant, Administrative Assistant, or similar role
  • Experience supporting multiple clients or executives preferred
  • Proficiency in Google Workspace and/or Microsoft Office, with typing ability of at least 50 WPM with accuracy
  • Familiarity with calendar management tools (Google Calendar, Outlook), project management and CRM tools (e.g., Asana, Trello, ClickUp, Zoho, Salesforce), and communication tools (Slack, Zoom, Teams)

Nice to Have

  • Bilingual (English/French and/or Spanish)
  • Experience supporting executives, entrepreneurs, or small business owners
  • Familiarity with Adjust and other relevant tools
