## About the Role The Executive Assistant role at Zirtual is a vital part of the company's mission to provide exceptional support to its clients. As an Executive Assistant, you will be the primary point of contact for assigned clients, working independently while receiving guidance from an Account Supervisor. Your day-to-day responsibilities will include managing complex calendars, coordinating travel arrangements, and providing administrative support to ensure seamless operations. The ideal candidate for this role is someone who is highly organized, proactive, and able to manage multiple priorities in a fast-paced environment. You will be working with a variety of clients, each with their unique needs and requirements, so flexibility and adaptability are essential. As an independent contractor, you will have the freedom to work remotely and manage your schedule to meet the needs of your clients. ## What You Will Do - Manage and coordinate complex calendars and appointments, ensuring seamless scheduling across multiple time zones - Schedule meetings, calls, and events, anticipating and resolving scheduling conflicts proactively - Monitor and manage inboxes, drafting and responding to emails, and prioritizing communications - Prepare documents, presentations, and reports, handling data entry, file organization, and record maintenance - Assist with project coordination and task tracking, supporting day-to-day business operations - Conduct research and compile information as needed, identifying opportunities to improve processes and efficiency - Maintain detailed client profiles, following Zirtual's best practices for success - Send weekly usage reports, responding to communication within a two-hour window - Research and book travel arrangements, creating detailed itineraries and managing travel changes - Coordinate virtual and in-person meetings or events, ensuring exceptional client experience ## What We Are Looking For - Strong organizational and time management skills, with the ability to manage multiple priorities in a fast-paced environment - Excellent written and verbal communication skills, with high attention to detail and accuracy - Ability to work independently in a remote environment, with reliable high-speed internet, computer, and phone - Proficiency in Google Workspace and/or Microsoft Office, with experience in calendar management tools (Google Calendar, Outlook) - Experience with project management and CRM tools (e.g., Asana, Trello, ClickUp, Zoho, Salesforce) - Ability to maintain confidentiality and professionalism, with a proactive, resourceful, and solution-oriented mindset - Associate's or Bachelor's degree in Business Administration or related field (or equivalent experience) - 2-4+ years of experience as an Executive Assistant, Administrative Assistant, or similar role - Typing ability of at least 50 WPM with accuracy ## Nice to Have - Bilingual (English/French and/or Spanish), with experience supporting executives, entrepreneurs, or small business owners - Certification in administrative assistance or a related field - Experience with communication tools (Slack, Zoom, Teams) ## Benefits and Perks - Competitive compensation based on a percentage of client monthly plans, with average monthly earnings ranging from
