About the Role

The Executive Assistant to the CEO at Lambent is a highly proactive and tech-savvy professional responsible for organizing the CEO's schedule, managing travel arrangements, and coordinating client relationships. This is a hands-on, collaborative role that requires exceptional organizational and project management skills, as well as the ability to work independently in a fast-paced environment. The successful candidate will be a key member of the Lambent team, providing critical support to the CEO and ensuring the smooth operation of the business.

As a key member of the team, the Executive Assistant will be responsible for managing the CEO's calendar, coordinating meetings and appointments, and ensuring that all necessary materials are prepared and distributed in a timely manner. This will require strong communication and interpersonal skills, as well as the ability to build strong relationships with colleagues and clients. The Executive Assistant will also be responsible for managing the CEO's email and correspondence, responding to routine inquiries, and drafting letters and other documents as needed.

The ideal candidate for this role will be a highly organized and proactive individual with a strong background in executive support. They will be able to work independently, think critically, and solve problems quickly and effectively. They will also be highly responsive, with a strong focus on delivering exceptional results and providing outstanding customer service.

What You Will Do

  • Manage the CEO's calendar, including scheduling meetings and appointments, and ensuring that all necessary materials are prepared and distributed in a timely manner
  • Coordinate travel arrangements, including booking flights and hotels, and preparing itineraries and other travel documents
  • Develop and implement processes and systems to improve the efficiency and effectiveness of the CEO's schedule and workload
  • Manage the CEO's email and correspondence, responding to routine inquiries, and drafting letters and other documents as needed
  • Provide exceptional customer service, responding promptly and courteously to all inquiries and requests
  • Develop and maintain strong relationships with colleagues and clients, providing support and guidance as needed
  • Manage multiple priorities and projects simultaneously, meeting deadlines and delivering exceptional results
  • Identify and mitigate potential risks and issues, taking proactive steps to resolve problems and improve processes
  • Develop and implement strategies to improve communication and collaboration between the CEO and other teams and stakeholders
  • Prepare and distribute meeting materials, including agendas, minutes, and other documents

What We Are Looking For

  • 4+ years of experience in an executive support role, providing administrative assistance to senior executives
  • Exceptional organizational and project management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Advanced proficiency in Microsoft Office, including Excel, Word, and PowerPoint
  • Strong communication and interpersonal skills, with the ability to build strong relationships with colleagues and clients
  • Highly responsive, with a strong focus on delivering exceptional results and providing outstanding customer service
  • Ability to work independently, think critically, and solve problems quickly and effectively
  • Strong technical skills, with the ability to learn new systems and platforms quickly
  • Excellent written and verbal communication skills, with the ability to draft letters and other documents

  • Experience working in the hospitality industry, or a related field
  • Certification in executive assistance, or a related field
  • Proficiency in additional software applications, such as CRM or project management tools
