About the Role
The Executive Assistant plays a vital role in ensuring the smooth operation of the media production company, serving as the primary point of contact for clients, managing projects, and maintaining internal systems. As the operational backbone of the company, the Executive Assistant will work closely with the Founder & Creative Director to drive business growth and maintain high standards of quality. The role is home-based, part-time, and offers the opportunity to work with a dynamic team of professionals in the media production industry.What You Will Do
- Manage lead records, update lead information, and track lead status in Wix CRM
- Create and maintain accurate calendars, schedules, and deadlines using Google Calendar
- Coordinate client onboarding, including creating client workspaces, sending welcome emails, and scheduling onboarding sessions
- Provide administrative support, including updating Monday.com boards, organizing Google Drive folders, and managing internal tasks
- Assist with social media coordination, including scheduling approved content and managing publishing schedules
- Support financial operations, such as sending invoices, monitoring unpaid invoices, and tracking payment verification processes
- Communicate with clients, including appointment confirmations, reminder messages, and administrative updates
- Review and analyze weekly and monthly performance metrics to ensure operational efficiency
- Collaborate with the Founder & Creative Director to develop and implement business strategies
What We Are Looking For
- 2+ years of experience in an administrative or operational role, preferably in the entertainment industry
- Proven proficiency in digital tools, including Wix CRM, Google Calendar, Monday.com, and Google Drive
- Excellent communication and organizational skills, with the ability to prioritize tasks and manage multiple projects
- Strong problem-solving skills, with the ability to think critically and outside the box
- Experience with social media coordination and content management
- Familiarity with financial operations, including invoicing and payment tracking
- Ability to work independently and as part of a remote team
- High level of attention to detail and accuracy in all aspects of work

- Experience with lead management and sales pipeline development
