About the Role

The Executive Assistant role at VPA London is a dynamic and challenging position that requires a unique blend of organizational, technical, and interpersonal skills. As a key member of the team, you will be responsible for providing dedicated support to senior stakeholders, managing complex diaries, and coordinating international travel and logistics. Your ability to work independently, think critically, and anticipate the needs of your stakeholders will be essential in this role. The role is based in a fast-paced and international environment, where no two days are the same. You will be working closely with senior leadership across a global business, providing seamless support and driving efficiency across the wider team. Your expertise in managing multiple priorities, building strong relationships, and communicating effectively will be vital in this position. As a remote worker, you will be expected to be self-motivated, disciplined, and able to manage your time effectively. You will be working as part of a global team, where collaboration, flexibility, and adaptability are essential.

What You Will Do

  • Provide dedicated support to senior stakeholders, including diary management, email management, and travel coordination
  • Manage complex and ever-changing diaries across multiple time zones, ensuring that all stakeholders are informed and up-to-date
  • Coordinate international travel, meetings, and logistics, including booking flights, hotels, and arranging transportation
  • Build strong relationships with internal and external stakeholders globally, including colleagues, clients, and suppliers
  • Manage competing priorities and ensure smooth day-to-day operations, including handling confidential and sensitive information
  • Support meeting preparation, communications, and team coordination, including preparing agendas, minutes, and presentations
  • Act as a key point of contact and help drive efficiency across the wider team, including implementing new processes and procedures
  • Provide proactive support and anticipate stakeholder needs, including anticipating and resolving problems

What We Are Looking For

  • Minimum 6 years' experience in an Executive Assistant or Personal Assistant role, with a strong background in supporting senior executives
  • Previous experience supporting senior executives within the financial services sector, including experience with financial software and systems
  • Strong diary and international travel management experience, including experience with travel booking systems and expense management
  • Highly organized, proactive, and able to anticipate needs, with excellent time management and prioritization skills
  • Resilient, calm under pressure, and confident managing senior stakeholders, with excellent communication and interpersonal skills
  • Ability to manage multiple priorities and work independently in a remote environment, with experience of working remotely and managing virtual teams
  • Strong attention to detail and problem-solving skills, with experience of handling confidential and sensitive information
  • Experience supporting international teams is advantageous, including experience of working across multiple time zones and cultures

Nice to Have

  • Experience with Google Suite, Microsoft Office, and other productivity software, including experience with calendar management and email clients
  • Knowledge of financial systems and software, including experience with accounting and financial planning
  • Certification in executive assistance, such as the Certified Executive Assistant (CEA) designation, or a related field
  • Experience of working in a global company, with experience of working across multiple time zones and cultures
  • Fluency in multiple languages, including English, with experience of communicating with international stakeholders
