About the Role

The Executive Assistant role at Mozilla is a key position that supports the VPs on the Communications Marketing Policy Leadership Team. As a highly skilled and experienced administrative professional, you will act as a key point of contact between executives, their teams, and internal/external partners, ensuring timely communication and follow-up. Your day-to-day responsibilities will include managing a wide range of administrative tasks, handling sensitive information with discretion, and coordinating internal and external meetings.

As an Executive Assistant, you will be an integral part of this team, providing administrative support and ensuring the smooth operation of the team's activities. What You Will Do

  • Act as a key point of contact between executives, their teams, and internal/external partners, ensuring timely communication and follow-up
  • Handle sensitive information with the highest degree of discretion
  • Manage a wide range of administrative tasks, including calendar management, domestic and international travel coordination, and expense reports
  • Support executives across US and EU time zones
  • Coordinate internal and external meetings, including planning logistics and events for team and exec offsites and work weeks
  • Build relationships within the organization and foster a team culture
  • Plan and coordinate team meetings, events, and activities
  • Develop and maintain accurate and up-to-date records and databases
  • Provide administrative support for special projects and initiatives
  • Collaborate with colleagues to achieve team goals and objectives

What We Are Looking For

  • 5+ years of administrative experience in a technology company or multi-location environment, working on administrative tasks for 1 or more executives
  • Experience in coordinating with sensitive, high-stakes external teams
  • Attention to detail, ability to manage ambiguity, and foster a team culture
  • Strong written and verbal communication skills
  • Ability to take initiative and solve problems
  • Experience with Google Suite
  • Ability to work in a fast-paced environment and adapt to changing priorities
  • Strong organizational and time management skills
  • Ability to maintain confidentiality and handle sensitive information with discretion

  • Experience working in a remote or distributed team environment
