About the Role

The Executive Assistant role at Remote VA is a dynamic and challenging position that requires a highly organized and proactive individual to support a busy executive in the construction industry. As the right-hand person, you will be responsible for managing the executive's schedule, travel, and communications, ensuring seamless day-to-day operations. You will work closely with the executive and internal team members to achieve project goals and objectives, and will be expected to maintain confidentiality and handle sensitive information with discretion.

What You Will Do

  • Assist with project timelines, collaborate with internal team members, and prepare regular reports on project progress
  • Plan and manage meetings, conferences, and company events, ensuring all logistics are handled smoothly
  • Handle routine administrative tasks, including expense reports, file organization, record-keeping, and other ad-hoc office duties
  • Occasionally manage personal tasks and household responsibilities for the executive, including coordinating personal appointments, errands, and family-related needs
  • Prepare and distribute meeting materials, such as agendas, minutes, and action items
  • Maintain confidentiality and handle sensitive information with discretion

What We Are Looking For

  • 5+ years of experience as an executive assistant, preferably in the construction industry or a related field
  • Exceptional organizational and time management skills, with a proven ability to juggle multiple tasks and deadlines
  • Excellent written and verbal communication skills
  • Proficiency in Google Suite (Docs, Sheets, Calendar) and familiarity with Canva for presentation design
  • Discretion and professionalism in handling confidential information
  • Ability to work flexible hours, including evenings or weekends, as needed
  • Strong problem-solving skills and the ability to work independently
  • High level of attention to detail and ability to maintain accuracy in a fast-paced environment
