About the Role

The Executive Assistant role at Gitlab is a critical support function for the company's VPs of Engineering, Security and AI. As a key member of the team, you will be responsible for managing the day-to-day activities of these executives, ensuring seamless communication, and coordinating complex logistics. What You Will Do

  • Support the VPs of Engineering, Security and AI across scheduling, logistics, communication, and day-to-day execution
  • Manage complex calendars, prioritizing meetings, and ensuring appropriate spacing between meetings and breaks
  • Prepare complete agendas for internal and external meetings, ensuring leaders are ready with the right context and decisions
  • Coordinate and execute large-scale internal events, including organizational summits and team-level hackathons
  • Maintain regular communication cadences with both leaders, proactively flagging items that need review, decisions, or escalation
  • Track updates from direct reports, functional peers, and cross-functional partners, providing leaders with clear visibility into progress, dependencies, and upcoming deliverables
  • Manage the rhythm of business for both engineering organizations, identifying opportunities for improvement and implementing process enhancements
  • Utilize AI tools to streamline routine work, improve information synthesis, and support data-driven decision-making
  • Develop and maintain accurate records, reports, and databases, ensuring data integrity and compliance with company policies
  • Collaborate with other Executive Assistants to share best practices, develop new skills, and support company-wide initiatives

What We Are Looking For

  • 3+ years of experience as an Executive Assistant, supporting senior leaders in a fast-paced environment
  • Proven track record of managing complex calendars, coordinating events, and providing exceptional support
  • Excellent communication, organizational, and time management skills
  • Ability to work effectively in a remote environment, with minimal supervision
  • Strong technical skills, including proficiency in Google Workspace, calendar management tools, and AI-driven productivity software
  • Experience with project management methodologies, including Agile and Scrum
  • Strong analytical and problem-solving skills, with the ability to think critically and outside the box
  • Ability to maintain confidentiality, handle sensitive information, and exercise discretion
  • Strong collaboration and interpersonal skills, with the ability to build relationships with diverse stakeholders
  • Experience working in a global, distributed team environment, with a strong understanding of cultural differences and nuances
