About the Role

What You Will Do
- Manage complex calendars, ensuring that the Executive's schedule is up-to-date and coordinated with internal and external stakeholders
- Coordinate travel arrangements, including domestic and international flights, hotels, and transportation
- Plan and execute on-site and off-site meetings, dinners, and events, including logistics and coordination with attendees
- Prepare monthly expense reports and coordinate other documentation as needed
- Serve as a liaison between the Executive and internal stakeholders, building strong relationships and ensuring effective communication
- Partner with other admins and senior leaders to align calendar availability and ensure that the Executive is available for necessary meetings
- Coordinate special projects as needed, providing administrative support and ensuring successful outcomes
- Arrange meetings and events with customers, vendors, and other external contacts
- Prepare and distribute meeting materials, agendas, and other documents as needed
What We Are Looking For
- 5+ years of experience in an administrative role, preferably supporting a C-Level Executive
- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Strong communication and interpersonal skills, with the ability to build strong relationships with internal and external stakeholders
- Proficiency in calendar management, travel coordination, and event planning
- Ability to work in a fast-paced environment, with a high level of flexibility and adaptability
- Strong attention to detail, with a focus on accuracy and quality
- Experience with expense reporting and budget management
- Familiarity with Google Suite or other productivity software
- Ability to maintain confidentiality and handle sensitive information with discretion
Nice to Have
- Experience working in a remote or distributed team environment
- Familiarity with project management tools, such as Asana or Trello
- Certification in administration or a related field
- Experience with customer relationship management (CRM) software
- Proficiency in a second language
