About the Role

The Executive/Personal Assistant role at Manay CPA Inc. is a full-time remote position that requires a highly skilled and experienced professional to provide administrative support to the CEO and Partners. The successful candidate will be responsible for managing daily and weekly activities, both as a team and independently, with a high degree of discretion and autonomy. This role is ideal for individuals who are self-motivated, organized, and able to work effectively in a fast-paced environment.

As an Executive/Personal Assistant, you will be the primary point of contact for the CEO and Partners, providing administrative support and ensuring the smooth operation of their schedules and activities. You will be responsible for managing calendars, coordinating travel arrangements, and preparing correspondence and presentations. Your excellent communication skills, both verbal and written, will be essential in this role, as you will be interacting with senior executives, clients, and other stakeholders.

What You Will Do

  • Provide administrative support to the CEO and Partners, including managing calendars, coordinating travel arrangements, and preparing correspondence and presentations.
  • Manage daily and weekly activities, both as a team and independently, with a high degree of discretion and autonomy.
  • Coordinate and schedule meetings, appointments, and events, ensuring that all necessary materials and equipment are available.
  • Prepare and edit documents, reports, and presentations, ensuring that they are accurate, concise, and well-formatted.
  • Develop and maintain effective filing systems, both physical and digital, to ensure that all documents and records are easily accessible.
  • Provide exceptional customer service, responding promptly to queries and requests from clients, stakeholders, and colleagues.
  • Develop and maintain relationships with key stakeholders, including clients, suppliers, and partners.
  • Coordinate and implement special projects and events, as required, to support the CEO and Partners.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Stay up-to-date with the latest developments and trends in the industry, applying this knowledge to improve administrative processes and procedures.

What We Are Looking For

  • Bachelor's degree in a related field, such as business administration, communications, or a related field.
  • At least 3 years of professional experience in an administrative or support role, preferably as an executive or personal assistant.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Native or bilingual proficiency in Turkish, with excellent verbal and written communication skills in business English.
  • Ability to work independently, think critically, and make sound judgments, often with minimal supervision.
  • High level of discretion, autonomy, and flexibility, with the ability to adapt to changing priorities and deadlines.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong attention to detail, with the ability to produce high-quality work, even in a fast-paced environment.
  • Ability to develop and maintain effective relationships with key stakeholders, including clients, suppliers, and partners.

Nice to Have

  • Experience working in a remote or virtual environment, with the ability to self-motivate and work independently.
  • Familiarity with accounting and financial systems, as well as experience working in a professional services firm.
  • Certification in administrative assistance, such as the Certified Administrative Professional (CAP) or the Certified Executive Administrative Professional (CEAP).
  • Experience with event planning and coordination, as well as travel arrangement and management.
  • Familiarity with CRM software and other business applications, such as Salesforce or HubSpot.
