About the Role
The Facilities Analyst will play a critical role in providing high-standard facility support for all areas within the site, ensuring safe and healthy working conditions at all times. This role requires a strong understanding of facility operations, maintenance, and management, as well as excellent communication and organizational skills. The successful candidate will work closely with the management team to coordinate maintenance work requests, source vendors, and monitor performance.The facility operations team is responsible for ensuring the smooth day-to-day running of the site, and the Facilities Analyst will be an integral part of this team. The role will involve working with various stakeholders, including vendors, subcontractors, and internal teams, to ensure that all facility-related tasks are completed efficiently and effectively.
As a key member of the facility operations team, the Facilities Analyst will be responsible for maintaining accurate records, collaborating with relevant stakeholders, and continuously improving supplier delivery and quality performance.
What You Will Do
- Process facility work requests as assigned by the manager
- Coordinate all maintenance work requests, including preventive maintenance, equipment record files, and time records
- Assist in sourcing appropriate and comparative quotations from suitable vendors for upcoming works
- Act as the main liaison and monitor performance for all vendors at the assigned location
- Monitor and continuously improve supplier delivery and quality performance
- Maintain accurate records on all ongoing projects, including quotations, material costs, sub-contractor labor, receipts, delivery notes, and job completion reports
- Collaborate with relevant stakeholders for all building and equipment certifications as required by local law
- Supervise subcontractors on site as required
- Perform and document routine checks to ensure a safe environment and compliance with safety rules and standards
- Perform stock checks and asset inventory checks as required
- Perform minor repairs as necessary, including changing overhead light bulbs, ensuring fire safety, and basic plumbing
What We Are Looking For
- Bachelor's Degree, First Degree, Trade/Vocational School certificate, or Equivalent
- 4 or more years of experience in a similar position
- Working knowledge of MS Office Suite
- Basic level certification in electrical and plumbing (an asset)
- Ability to work a flexible shift when required
- Ability to work outside of normal working hours, including night shifts
- Ability to report to work at all locations, if required
- Strong communication and organizational skills
- Ability to work with various stakeholders, including vendors and subcontractors
