What You Will Do
- Manage events from conception to execution, including scoping, budgeting, vendor management, and timeline creation
- Coordinate with vendors, suppliers, and stakeholders to ensure seamless event delivery
- Develop and manage production timelines, runs of show, and checklists to ensure every detail is covered
- Source and manage vendors, including caterers, audio-visual technicians, and decorators
- Build and maintain accurate production budgets, tracking expenses and ensuring cost-effectiveness
- Support permitting and compliance, ensuring that all events are legally and safely executed
- Coordinate creative deliverables, working closely with design and social media teams to ensure brand consistency
- Act as the primary point of contact for clients and internal stakeholders, providing regular updates and ensuring excellent communication
- Partner with design, social media, and account teams to deliver bespoke brand experiences that exceed client expectations
- Take the lead on event operations, ensuring that every detail is meticulously planned and delivered to the highest standard
- Collect key event metrics, organize photo and video highlights, and turn insights into recap decks and actionable takeaways for future tours
What We Are Looking For
- 2-5 years of experience in experiential marketing, events, or production, either agency-side or brand-side
- Strong organizational and project management skills, with the ability to manage multiple projects simultaneously
- Excellent communication and interpersonal skills, with the ability to work collaboratively with cross-functional teams
- Proficiency with Google Workspace, including Google Docs, Sheets, and Slides
- Familiarity with HubSpot, Monday, or similar project management tools
- Experience with event production, including venue sourcing, vendor management, and budgeting
- Strong problem-solving skills, with the ability to think creatively and outside the box
- Ability to work in a fast-paced environment, prioritizing tasks and managing deadlines
- Strong attention to detail, with a keen eye for quality and excellence
Nice to Have
- Hands-on experience with mobile or vehicle activations, including food trucks, step vans, and trailers
- Knowledge of NYC or major-market permitting, including regulations and compliance
- Basic Adobe or Canva skills, with the ability to create visual content and designs
- Experience with generative AI, including content creation and data analysis
- Comfort with measurement tools, including QR flows, foot-traffic counters, and surveys
