About the Role

The Home Based Cardiac Rehabilitation Operations Coordinator role is a critical component of Cardiovascular Associates of America's patient care services. As a key member of the operations team, the successful candidate will be responsible for managing essential patient data, coordinating with external practices and third-party vendors, and ensuring seamless administrative and billing workflows. This role requires a high degree of organization, attention to detail, and proactive communication skills.

The operations coordinator will work closely with the Manager of Home-Based Cardiac Rehab Service and other stakeholders to maintain the high quality of the program and ensure that partner physicians and practices have the data they need to provide excellent patient care. This is a remote position, offering the opportunity to work from home and collaborate with a team of dedicated healthcare professionals.

The cardiac rehabilitation program is a vital service that enables patients to recover and manage their conditions in the comfort of their own homes. The operations coordinator will play a central role in ensuring the smooth operation of this program, from patient onboarding to data analysis and reporting.

What You Will Do

  • Proactively track down and pull missing clinical documentation required for patient referrals across multiple EHR systems
  • Compile, analyze, and distribute routine Key Performance Indicators (KPIs) to participating medical practices
  • Review, verify, and monitor program data provided by third-party digital health/service vendors
  • Prepare and manage monthly invoices, tracking program expenditures and utilization accurately
  • Assemble, organize, and distribute monthly DocuSign packets for collaborating physicians to review, sign off on, and track
  • Coordinate with external practices and third-party vendors to ensure seamless data exchange and workflow
  • Manage essential patient data, including electronic health records and billing information
  • Develop and maintain reports to track program metrics and patient outcomes
  • Collaborate with the operations team to identify areas for process improvement and implement changes as needed

What We Are Looking For

  • 2-4 years of administrative, operational, or coordinator experience within a healthcare, clinical, or medical practice setting
  • Hands-on experience navigating and retrieving patient records from NextGen, eClinicalWorks, and AthenaOne EHR systems
  • Strong familiarity with electronic document management tools, such as DocuSign
  • Technical proficiency in data/spreadsheet tools, including Excel and Google Sheets
  • Exceptional organizational skills, with a proven ability to catch missing data points and manage financial documentation
  • Excellent written and verbal communication skills for professional outreach to external practices and physicians
  • Ability to work independently in a remote setting and collaborate with a team of healthcare professionals
  • Strong attention to detail and ability to manage multiple priorities and deadlines

Nice to Have

  • Experience with data analysis and reporting, including the development of dashboards and metrics
  • Familiarity with digital health platforms and telemedicine services
  • Certification in medical billing or coding, such as CPC or CMC
  • Experience with project management tools, such as Asana or Trello
