About the Role
The HR Operations Specialist plays a critical role in AlertMedia's People Operations team, focusing on payroll, benefits administration, and leave management. This position is ideal for detail-oriented individuals who are passionate about delivering exceptional employee experiences. As a key member of the team, you will work closely with the HR Operations Manager, People Partners, Finance, and external vendors to ensure seamless operations.The success of AlertMedia's mission to save lives and minimize loss by identifying active threats and facilitating timely communications relies on the efficiency and effectiveness of its internal operations. The HR Operations Specialist contributes significantly to this mission by ensuring that all employee-facing domains are managed with precision and care.
What You Will Do
- Prepare, process, and audit US payroll accurately and on time, collaborating with Finance and the HR Operations team.
- Own multi-state payroll compliance, including tax registrations, unemployment accounts, SUI rate updates, and jurisdiction-specific requirements.
- Support international payroll coordination for AlertMedia's global population in partnership with the HR Operations team and in-country vendors.
- Conduct regular payroll audits to reconcile deductions, verify data integrity, and resolve discrepancies promptly.
- Manage payroll-related employee questions with accuracy and responsiveness.
- Partner with Finance on payroll reporting, cost tracking, and reconciliation.
- Stay current on US federal and state payroll regulations, tax law changes, and international payroll requirements relevant to AlertMedia's footprint.
- Administer day-to-day US benefits administration, including enrollments, life events, and employee questions.
- Support annual open enrollment and conduct regular benefits audits to ensure compliance and resolve discrepancies.
What We Are Looking For
- 2+ years of experience in HR operations, with a focus on payroll, benefits administration, and leave management.
- Advanced Excel skills, with the ability to learn and adapt to new HRIS systems (currently Rippling).
- Strong analytical and problem-solving skills, with attention to detail and organizational abilities.
- Excellent communication and interpersonal skills, capable of empathetically supporting employees.
- Experience with compliance and regulatory requirements in payroll and benefits administration.
- Ability to work in a fast-paced environment, prioritizing tasks and managing multiple responsibilities.
- Familiarity with AI tools (such as Claude, ChatGPT) and their application in HR operations.
Nice to Have
- Experience with global benefits programs and international payroll.
- Knowledge of US federal and state labor laws, including ACA, ERISA, COBRA, and Section 125.
- Certification in HR, such as SHRM-CP or HRCI-PHR.
- Previous experience in a rapidly growing company, adapting to changing environments and processes.
