About the Role

The Legal Virtual Staff role at Outsource Access is a remote position that entails providing high-level paralegal support to a real estate law firm. As a key member of the team, you will be responsible for preparing and organizing real estate closing documents, coordinating transactions, and maintaining accurate records. Your expertise in legal documentation, transaction coordination, and communication will be essential in ensuring the smooth operation of the firm's legal operations.

The real estate law firm you will be supporting is a high-performing team that values collaboration, attention to detail, and exceptional client service. As a virtual paralegal, you will be working closely with the managing attorney, paralegal, and other stakeholders to ensure that all legal operations are carried out efficiently and effectively.

In this role, you will have the opportunity to work independently in a virtual environment, using tools such as Qualia, Gmail, and Microsoft Office to manage your workload. Your strong organizational skills, attention to detail, and ability to multitask will be essential in meeting the firm's deadlines and delivering high-quality results.

What You Will Do

  • Prepare and organize real estate closing documents in accordance with legal standards
  • Coordinate transactions using Qualia or similar software
  • Manage inbox and respond to client and partner communications via Gmail
  • Maintain and update legal templates, internal records, and client folders
  • Coordinate closing schedules with title companies, lenders, and clients
  • Provide regular status updates to the managing attorney and paralegal
  • Support internal documentation of processes to improve workflow consistency
  • Perform light administrative duties as needed, including scheduling and document management
  • Conduct basic legal or property-related research when necessary
  • Assist in preparing closing packages and ensuring timely delivery
  • Support operational efficiency by identifying process improvements

What We Are Looking For

  • 1-2 years of paralegal or real estate closing experience
  • Experience with Qualia or comparable legal transaction management tools
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Familiarity with Gmail and Microsoft Office or Google Workspace
  • Ability to work independently and efficiently in a virtual environment
  • Legal or real estate background preferred
  • Strong attention to detail and ability to maintain confidentiality
  • Ability to meet deadlines and work under pressure
