About the Role

The Medical Virtual Receptionist role at Winning Assistants is a dynamic and challenging position that requires a unique blend of technical, communication, and sales skills. As a key member of the team, you will be responsible for managing patient interactions, scheduling appointments, and driving conversions. Your day-to-day activities will involve responding to inbound leads, proactively following up with patients, and utilizing your sales acumen to guide prospects toward booking appointments.

In this role, you will be working closely with the healthcare team to ensure seamless patient experiences and optimal appointment scheduling. Your contributions will have a direct impact on the success of the practice, and you will be expected to continually adapt to the evolving needs of the patients and the business.

What You Will Do

  • Manage inbound leads and convert them into booked appointments efficiently
  • Take ownership of the full booking process, ensuring minimal drop-off and maximizing conversion opportunities
  • Proactively follow up with all incoming leads, particularly during off-hours
  • Respond quickly to new inquiries to maximize conversion opportunities
  • Continuously re-engage leads who have not yet booked, utilizing multiple touchpoints such as calls, texts, and emails
  • Utilize strong sales and persuasion techniques to guide prospects toward booking
  • Build quick rapport with patients and confidently position the value of the service
  • Handle patient inquiries with clarity, empathy, and confidence
  • Provide accurate information while steering conversations toward booking
  • Maintain rapid response times to all inquiries and prioritize urgent leads
  • Utilize the Go High Level CRM and email platforms to track, update, and manage all lead interactions

What We Are Looking For

  • Experience in appointment setting, virtual receptionist, or similar roles
  • Background in handling patient or client interactions in fast-paced environments
  • Familiarity with CRM systems, preferably Go High Level
  • Strong sales and conversion skills
  • Excellent communication skills with a clear accent
  • Proven ability to follow up leads persistently and consistently
  • High responsiveness and reliability
  • Basic computer skills, including proficiency in Excel
  • Ability to work independently in a remote setting and maintain a professional, quiet workspace
