About the Role

As a key member of the event operations team, you will work closely with the Director, Event Operations, and other stakeholders to ensure seamless execution of all events. As a Meeting Coordinator, you will be responsible for overseeing all aspects of event planning, from initial conception to final execution. Your day-to-day tasks will include managing timelines, coordinating with vendors, and ensuring that all events are well-organized and executed flawlessly.

What You Will Do
- Coordinate and plan meetings and events, including venue selection, catering, and audio-visual arrangements
- Manage event timelines, ensuring that all deadlines are met and events are executed on time
- Communicate effectively with vendors, stakeholders, and team members to ensure seamless event execution
- Oversee event logistics, including registration, accommodations, and transportation
- Develop and manage event budgets, ensuring that costs are controlled and within approved limits
- Collaborate with the marketing team to promote events and create engaging content
- Conduct site visits and venue inspections to ensure that all events are held in suitable locations
- Negotiate contracts with vendors and suppliers to secure the best possible rates
- Manage event materials, including agendas, presentations, and promotional items
- Evaluate event success and provide feedback to improve future events
What We Are Looking For
- 2+ years of experience in event planning or coordination, preferably in a remote work environment
- Strong digital skills, including proficiency in event management software and online communication tools
- Excellent communication and interpersonal skills, with the ability to work with diverse stakeholders
- Ability to work independently and as part of a remote team
- Strong attention to detail and organizational skills, with the ability to manage multiple events simultaneously
