About the Role
The Operations Associate role at Pavago is a critical component of the company's deal pipeline management. As the operational backbone of the team, this position requires a highly organized and detail-oriented individual who can ensure seamless execution and follow-through. The ideal candidate will be responsible for managing the deal pipeline, coordinating meetings, and providing operational support to the team.Day-to-day, the Operations Associate will work closely with the leadership team to track and update the deal pipeline, maintain clean CRM data, and flag urgent items. This role is perfect for those who enjoy working in a structured environment and are passionate about driving business performance through meticulous execution.
What You Will Do
- Manage the deal pipeline in HubSpot CRM, ensuring all deals, follow-ups, and tasks are tracked and updated
- Maintain clean CRM data, including notes, stages, and next steps
- Send consistent follow-ups across long deal cycles (6-12 months)
- Coordinate meetings, calendars, and deal-related calls
- Provide general operational and admin support to the team
- Convert raw data into clean summaries, reports, graphs, and visuals using Excel and Google Sheets
- Support the preparation of pitch materials and client-facing documents
- Flag urgent items and keep leadership aligned on priorities
- Ensure HubSpot is always up-to-date and structured
- Deliver accurate and clear reports on time
- Maintain and update Excel deal tracking templates
- Provide operational support for deal execution
What We Are Looking For
- Hands-on experience with HubSpot (deal tracking, tasks, follow-ups)
- Intermediate Excel and Google Sheets skills (formatting, templates, basic data handling)
- Strong written English skills (independent follow-up communication)
- High attention to detail and organization
- Ability to manage long deal cycles and repeated follow-ups
- Process-driven with strong execution discipline
- Proactive and able to identify issues before being asked
- Reliable and consistent in repetitive, structured work
- Strong written communicator (especially for follow-ups)
