About the Role

The Personal Lines - Insurance Coordinator role at Epic Insurance Brokers and Consultants is a newly created position within the Galway Family Office team. This team specializes in providing comprehensive, personalized wealth management solutions and expert operational support to high-net-worth clients, including professional athletes and entertainers. The role of the Insurance Coordinator is to serve as the central resource for overseeing all insurance matters across client households, ensuring policies are properly maintained, coverage is regularly evaluated, and insurance records remain accurate.

As part of the Galway Family Office team, the successful candidate will work closely with clients, advisors, and insurance agents to monitor policies, review coverage alternatives, track premiums, and maintain complete documentation. The goal is to help clients maintain appropriate protection while ensuring the firm manages insurance matters in a consistent, organized, and proactive manner. This role operates at the intersection of client service, risk management, and operations, requiring a strong understanding of personal lines insurance and the ability to work collaboratively in a fast-paced environment.

What You Will Do

  • Maintain a comprehensive view of each client’s insurance portfolio across all policy types, including property, casualty, liability, umbrella, life, disability, and specialty asset coverage.
  • Ensure policies remain current and properly documented, and track renewal schedules to coordinate policy reviews when renewals approach.
  • Manage an organized repository of insurance records for each client household, ensuring data accuracy and accessibility.
  • Coordinate claims management, working closely with clients, advisors, and insurance agents to manage claims effectively.
  • Provide recommendations for policy adjustments based on thorough reviews of policies for complete coverage.
  • Collaborate with the brokerage team to obtain quotes from various companies/carriers for the best coverage options.
  • Develop and maintain strong relationships with insurance carriers and vendors to ensure competitive products and services.
  • Stay updated on industry developments, regulatory changes, and new products that could benefit clients.
  • Assist in the onboarding process of new clients, ensuring seamless integration of their insurance portfolios.
  • Participate in regular team meetings to discuss client needs, market trends, and internal processes.

What We Are Looking For

  • At least 2+ years of Personal lines insurance account management experience, with a proven track record of reviewing policies for complete coverage and making recommendations for policy adjustments.
  • Experience with Salesforce and Adjust, with the ability to leverage these tools to manage client portfolios efficiently.
  • Brokerage experience or experience getting quotes from various companies/carriers is strongly preferred.
  • Strong problem-solving skills, with the ability to adapt to grey areas and go above and beyond to meet the client's needs.
  • Excellent communication skills, both written and verbal, with a positive and outgoing disposition.
  • Ability to work well in a fast-paced environment with frequent interruptions and urgent tasks.
  • Strong customer service skills, with a genuine enthusiasm for serving others.
  • Professional certification in insurance (e.g., CISR, CIC) is a plus.
  • Ability to maintain confidentiality and handle sensitive client information with discretion.

Nice to Have

  • Experience working with high-net-worth clients or in a similar wealth management environment.
  • Knowledge of tax and business management services as they relate to personal insurance needs.
  • Familiarity with other CRM systems or insurance software beyond Salesforce and Adjust.
