Job Description
About the Role
The Post Award Grant Specialist is a critical member of the grants accounting team, working closely with program directors, the office of sponsored projects, and the accounting/finance team to ensure seamless grant administration. This role is responsible for providing administrative and fiscal support to faculty serving as Principal Investigators (PIs) on grants, from the initial award setup to the final close-out. The successful candidate will have a deep understanding of grant management principles, including fiscal compliance, reporting requirements, and regulatory guidelines.As a key member of the grants accounting team, the Post Award Grant Specialist will work in a fast-paced environment, prioritizing multiple tasks and deadlines while maintaining attention to detail and accuracy. The role requires excellent communication and interpersonal skills, with the ability to provide guidance and support to faculty and staff on grant-related matters.

The Post Award Grant Specialist will be an integral part of this team, working closely with colleagues to ensure the smooth administration of grants and contracts.
What You Will Do
- Manage the post-award process, including grant setup, budgeting, and reporting
- Provide administrative and fiscal support to faculty serving as PIs on grants
- Coordinate with the office of sponsored projects, accounting/finance team, and other departments to ensure compliance with grant regulations and university policies
- Develop and maintain complex spreadsheets to track grant expenses, budgets, and reporting requirements
- Communicate grant terms, conditions, and regulatory requirements to faculty and staff
- Manage the procurement process, including purchasing supplies and equipment, and tracking invoices and expense reimbursements
- Provide training and guidance to faculty and staff on grant management, fiscal compliance, and regulatory requirements
- Assess the efficiency of departmental reporting and tracking procedures and recommend revisions as necessary
- Perform standard accounting functions, including journal entries, reconciliations, and audits
- Coordinate human resources actions, including payroll and personnel management, as they apply to personnel paid on grants
What We Are Looking For
- Bachelor's degree in accounting, finance, or a related field
- Minimum 2 years of experience in grant administration, accounting, or a related field
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a team
- Strong analytical and problem-solving skills
- Proficiency in Microsoft Office, particularly Excel
- Knowledge of grant management principles, including fiscal compliance and regulatory requirements
- Experience with accounting software and systems, such as WorkDay
- Ability to prioritize multiple tasks and deadlines while maintaining attention to detail and accuracy
Nice to Have
- Master's degree in accounting, finance, or a related field
- Certified Grant Administrator (CGA) or Certified Research Administrator (CRA) certification
- Experience with grant management software and systems, such as Cayuse or Huron
- Knowledge of federal and state regulations, including the Code of Federal Regulations Uniform Guidance (UG)
