About the Role

The Real Estate Assistant role at Assistantly is designed for individuals who thrive in fast-paced, detail-oriented environments and are passionate about supporting real estate operations. As a key member of the team, you will be responsible for ensuring the smooth execution of daily tasks, from managing listings to coordinating transactions. Your work will directly impact the efficiency and client readiness of top-producing real estate professionals.

As part of the Assistantly team, you will receive ongoing coaching, support from a dedicated Success Manager, and the opportunity to upskill in areas such as AI, operations, and real estate tools. What You Will Do

  • Manage listing tasks, including scheduling photos and preparing marketing materials
  • Support transaction coordination from contract to close, ensuring timely and efficient execution
  • Track deadlines, contingencies, and communication between all parties involved in transactions
  • Manage CRM data, lead tracking, and nurturing workflows to optimize client engagement
  • Prepare simple marketing assets in Canva and post listings or updates on social channels
  • Support inbox, calendar, and day-to-day communication for real estate professionals
  • Follow standard operating procedures (SOPs) while identifying opportunities to improve processes
  • Collaborate with the team to achieve operational efficiency and client satisfaction
  • Utilize Excel to analyze data, track performance, and provide insights to support business decisions
  • Stay updated on the latest real estate trends and technologies to continuously improve support services

What We Are Looking For

  • 3+ years of experience in real estate administration or as a real estate virtual assistant
  • Familiarity with real estate tools, including MLS, DocuSign, Dotloop, Skyslope, and CRM systems
  • Strong written and spoken English skills
  • Highly proactive, with the ability to take initiative without micromanagement
  • Critical thinker with strong organizational and time management skills
  • Dependable, responsible, and consistent in follow-through and meeting deadlines
  • Comfortable working in fast-paced, deadline-driven environments with multiple tasks and priorities
  • Strong attention to detail and ability to manage multiple projects simultaneously

Nice to Have

  • Experience with Canva or other graphic design tools for marketing materials
  • Knowledge of social media management and content creation principles
  • Basic understanding of SEO principles and how they apply to real estate marketing
  • Certification in real estate or a related field, such as a real estate license
