About the Role

The Records and Licensing Specialist plays a crucial role in overseeing and implementing the overall company records management program at Coast Dental and Orthodontics. This role is essential for maintaining compliance with federal, state, and corporate policies, ensuring the secure and efficient management of company records. Day-to-day responsibilities will include monitoring and responding to the help desk ticket system, overseeing records requests and licensing needs, and providing support necessary for daily operations in company and affiliated dental centers.

The Records and Licensing Specialist will work closely with various teams to ensure seamless operations across approximately 90 locations. This position requires strong organizational skills, attention to detail, and the ability to maintain confidentiality. The specialist will also be responsible for training staff on records management policies and procedures.

What You Will Do

  • Implement policies and procedures pertaining to record retention and destruction that conform to federal, state, and corporate policies
  • Assist with training on records management policies, records retention, and records inventory
  • Oversee record destruction and maintain accurate records of such activities
  • Monitor and respond to the help desk ticket system, addressing records requests and licensing needs in a timely manner
  • Provide records and licensing support necessary for daily operations in company and affiliated dental centers
  • Manage and administer all company business licenses for approximately 90 locations
  • Ensure compliance with HIPAA and record retention laws, particularly in the state of Florida
  • Collaborate with various teams to ensure seamless operations across different locations
  • Maintain accurate and up-to-date records of licensing and compliance
  • Conduct regular audits to ensure adherence to records management policies

What We Are Looking For

  • Experience with medical records management, preferably in a dental or healthcare setting
  • Strong understanding of HIPAA and record retention laws, particularly in the state of Florida
  • Excellent organizational and time management skills
  • Ability to maintain confidentiality and handle sensitive information
  • Proficiency in record-keeping software and systems
