What You Will Do
- Lead the development and implementation of scalable recruiting coordination practices across multiple business functions and hiring pipelines.
- Act as a strategic operational partner to address recruiting challenges, proposing solutions that leverage data, tools, process improvements, and cross-functional teamwork.
- Partner with recruiters, hiring managers, recruiting leadership, and executive operations teams to support hiring objectives and drive operational excellence.
- Manage and mentor recruiting coordinators, promoting consistency and the adoption of best practices.
- Support interviewer enablement, including training logistics, onboarding coordination, interviewer pool management, and load balancing.
- Utilize various tools such as Ashby, Guide, ChatGPT, Google Workspace, Slack, and Notion to ensure a timely, efficient, and high-quality hiring experience.
- Facilitate professional, timely, and candidate-centric communication with both candidates and stakeholders.
- Coordinate logistics for onsite interviews, candidate travel, and reimbursement processes.
- Identify operational inefficiencies, conduct root-cause analysis, and recommend scalable improvements.
- Navigate ambiguity and shifting priorities, influencing stakeholders towards consistent and scalable coordination practices.
What We Are Looking For
- A minimum of 5 years of experience in recruiting coordination, recruiting operations, or a related field, preferably in fast-paced or high-growth environments.
- At least 1.5 years of experience managing or leading recruiting coordinators, contingent workforce teams, or recruiting operations.
- Significant experience supporting multiple business functions and hiring teams with varying operational needs.
- Proven expertise in managing complex and high-volume scheduling, including support for senior leadership and executive-level candidates.
- Strong stakeholder management and communication skills, with the ability to build trust and influence across different teams and levels.
- A demonstrated track record of improving coordination workflows, operational processes, or recruiting systems at scale.
- Expertise with tools such as Google Calendar, Guide, Ashby, Slack, Notion, and Google Workspace.
- High level of organization, with strong prioritization skills and the ability to adapt quickly.
- Detail-oriented, proactive, and solutions-focused in addressing operational challenges.
Nice to Have
- Experience with Adjust and Excel, particularly in analyzing data to inform operational decisions.
