The Recruiting Coordinator role at Openai is a pivotal position that ensures the smooth execution of hiring processes for executive-level candidates. What You Will Do

  • Take ownership of the scheduling process for evergreen and opportunistic hiring needs, ensuring timely and efficient coordination of interviews and follow-ups.
  • Act as a partner for recruiting operations, helping to identify and resolve problems through data-driven solutions, tool optimization, and collaboration with the recruiting team.
  • Provide a welcoming and professional interview experience for candidates, serving as the primary point of contact for onsite interviews and logistics.
  • Develop and maintain relationships with recruiters, hiring managers, and other stakeholders to ensure seamless communication and coordination of hiring efforts.
  • Utilize tools like Ashby, Guide, ChatGPT, G-Suite, and other software to streamline processes, manage data, and maintain accurate records.
  • Problem-solve and adapt to changing priorities, deadlines, and environments, prioritizing candidate experience and operational excellence.
  • Manage clear, concise, and timely communication with candidates, hiring managers, and other stakeholders through written and verbal interactions.
  • Handle candidate reimbursement, travel arrangements, and other administrative tasks as needed.
  • Collaborate with the Executive Operations team to support and enhance the candidate experience for senior and executive-level candidates.
  • Identify areas for process improvement and contribute to the development of more efficient and effective recruiting operations.

What We Are Looking For

  • 4+ years of proven experience in recruiting coordination, preferably in a fast-paced, dynamic environment.
  • High proficiency in tools like Google Calendar, Guide, Ashby, Slack, and Notion, with the ability to quickly adapt to new software and technologies.
  • Excellent communication and interpersonal skills, with the ability to build rapport with senior-level candidates, hiring managers, and other stakeholders.
  • Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Detail-oriented and proactive approach to problem-solving, with a focus on delivering high-quality results and exceptional candidate experiences.
  • Collaborative mindset and willingness to contribute to process improvements, team operations, and knowledge sharing.
  • Ability to maintain confidentiality and discretion when working with sensitive information and senior-level candidates.
  • Familiarity with AI or technology trends, with the ability to engage candidates effectively and provide insightful support to the recruiting team.
