About the Role

The Sales Assistant role is a critical part of the sales team, responsible for managing CRM updates, scheduling meetings, and coordinating follow-ups. This detail-oriented and execution-focused position requires a strong understanding of sales operations and the ability to work proactively to ensure the sales team has the necessary support to close deals efficiently. As a key member of the team, the Sales Assistant will be working closely with the sales team, marketing, finance, and operations to ensure seamless communication and workflow.

The successful candidate will be highly organized, with excellent communication and time management skills. They will be able to work independently and as part of a remote team, with a strong focus on delivering high-quality results. What You Will Do

  • Manage and maintain accurate and up-to-date CRM records in Salesforce and HubSpot
  • Update leads, contacts, opportunities, and pipeline stages on a daily basis
  • Remove duplicates, fix missing information, and maintain CRM hygiene
  • Ensure pipeline visibility and reporting accuracy
  • Schedule calls, demos, follow-ups, and meetings across multiple time zones
  • Manage calendars using Google Calendar, Outlook, and Calendly
  • Coordinate meeting logistics and ensure sales reps are prepared before calls
  • Prepare, format, and proofread proposals, quotes, presentations, and sales documents
  • Support RFP and RFI responses using templates and existing materials
  • Generate weekly and monthly sales reports and dashboards
  • Track pipeline activity, conversion metrics, and sales KPIs
  • Maintain reporting accuracy and ensure leadership visibility into sales activity
  • Draft professional follow-up emails and meeting summaries
  • Send reminders, thank-you notes, and next-step communication
  • Support inbound lead routing and initial coordination

What We Are Looking For

  • 1-2 years of experience in sales support, administrative support, operations, or coordination roles
  • Hands-on experience with at least one CRM platform (Salesforce, HubSpot, Zoho, Pipedrive, or similar)
  • Strong scheduling and calendar management skills
  • Proficiency with Google Workspace or Microsoft Office
  • Strong written English communication skills
  • Highly organized with strong attention to detail
  • Ability to work independently and as part of a remote team
  • Strong analytical and problem-solving skills
  • Ability to work in a fast-paced environment and prioritize tasks effectively
