About the Role

As a Senior Executive Assistant at Providence, you will play a vital role in providing administrative support to a system executive, ensuring the smooth operation of daily tasks and projects. What You Will Do

  • Manage the system executive's calendar, scheduling appointments, and ensuring timely responses to invitations and requests
  • Coordinate travel arrangements, including booking flights, hotels, and rental cars, as well as preparing itineraries and travel documents
  • Prepare meeting materials, including agendas, minutes, and presentations, and ensure that all necessary documents are distributed to attendees
  • Handle confidential correspondence, including emails, letters, and memos, and respond to routine inquiries on behalf of the system executive
  • Develop and implement administrative processes and procedures to improve efficiency and productivity
  • Conduct research and gather data to support special projects and initiatives
  • Collaborate with other departments and teams to achieve organizational goals and objectives
  • Provide exceptional customer service to internal and external stakeholders, including executives, staff, and patients
  • Represent the system executive and the organization in a professional and positive manner, both internally and externally

What We Are Looking For

  • University or college training in English, Liberal Arts, or related subjects, or graduation from a technical program in secretarial or office support services
  • At least 3 years of experience as an administrative assistant for an executive, preferably in a healthcare or non-profit setting
  • Proficiency in digital tools, including Microsoft Office, Google Suite, and calendar management software
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with stakeholders at all levels
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Ability to work independently, think critically, and make sound decisions in a fast-paced environment
