About the Role
The Senior Executive Assistant role is a critical support function for busy principals, requiring expertise in calendar management, travel coordination, and expense reporting. As a seasoned EA, you will be responsible for ensuring the smooth operation of daily activities, navigating complex schedules, and maintaining open lines of communication with principals, teams, and stakeholders.In this role, you will be working closely with senior leaders, providing administrative support, and coordinating travel arrangements, meetings, and events. Your ability to think critically, solve problems, and prioritize tasks will be essential in this fast-paced environment.
What You Will Do
- Manage complex calendars, coordinate meetings, and schedule appointments across multiple time zones
- Coordinate travel arrangements, including booking flights, hotels, and car services
- Prepare and submit expense reports, ensuring accuracy and compliance with company policies
- Develop and maintain digital artifacts, such as itineraries, agendas, and service tickets
- Provide administrative support for principals, including email management, data entry, and document preparation
- Collaborate with teams to achieve shared goals and objectives
- Maintain confidentiality and handle sensitive information with discretion
- Develop and implement processes to improve administrative efficiency and productivity
- Stay up-to-date with industry trends, best practices, and new technologies
What We Are Looking For
- 3+ years of experience as an Executive Assistant, Office Manager, or Senior Admin supporting busy principals
- Expertise in calendar management, travel coordination, and expense reporting
- Proficiency in digital tools, such as Google Workspace, Microsoft Office, and expense management software
- Excellent communication and interpersonal skills, with the ability to build strong relationships with principals, teams, and stakeholders
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Ability to work independently, with minimal supervision, and as part of a remote team
- Strong problem-solving and analytical skills, with the ability to think critically and outside the box
Nice to Have
- Experience working with corporate travel platforms, such as Navan and TravelPerk
- Familiarity with project management tools, such as Asana, Trello, or Jira
- Certification in administrative assistance, such as the Certified Administrative Professional (CAP) designation
