## About the Role As a Senior Executive Assistant at VirtueStaff, you will be the right-hand person to our client, serving as a strategic partner and gatekeeper for communications. This role requires a high level of autonomy, proactive thinking, and exceptional critical thinking skills. You will be responsible for managing the owner's email and LinkedIn, interacting with clients, and ensuring seamless operations. The ideal candidate thrives in a fast-paced environment, leveraging AI and modern tech to stay ahead of the schedule. With a strong focus on customer service and professional voice, you will be the primary point of contact for clients and internal stakeholders. Our team is looking for someone who can learn quickly, adapt to new situations, and maintain a high level of confidentiality and professionalism.

## What You Will Do - Manage the owner's email and LinkedIn, responding to clients and internal stakeholders with high-level customer service and professional voice - Oversee a complex calendar, scheduling meetings, and managing all Zoom calls - Capture comprehensive notes and drive action items from meetings - Lead the onboarding process for new clients, creating high-impact presentations and ensuring a smooth transition - Maintain the CRM (ActiveCampaign) by reconciling contacts and performing high-level sales administrative activities - Manage digital content, ensuring accurate and timely postings into the Learning Management System (LMS) - Maintain file structures in Google Drive and project workflows in Asana, utilizing advanced worksheet knowledge to track data - Utilize AI tools to increase efficiency and speed in daily operations - Collaborate with internal teams to ensure alignment and effective communication

## What We Are Looking For - Proven experience as an Executive Assistant working directly for a business owner in a fast-paced environment - Exceptional critical thinking skills and ability to anticipate needs before they are articulated - Advanced knowledge of ActiveCampaign, Asana, and Google Drive - Strong Excel/Sheets knowledge and data exposure - Highly proficient in using AI tools to increase efficiency and speed - High attention to detail, ability to learn on the fly, and confident executive presence in client-facing interactions - Excellent written and verbal communication skills - Ability to maintain confidentiality and professionalism in high-level interactions

## Nice to Have - Experience working in a remote environment and managing virtual teams - Knowledge of sales and marketing principles - Certification in Executive Assistance or a related field - Familiarity with Learning Management Systems (LMS)
