About the Role

The Senior Manager, Administration, is a pivotal role at WorkMoney, serving as a central operational partner responsible for the systems, processes, communications, and administrative operations that support the organization's effectiveness. As a trusted resource across the organization, the Senior Manager, Administration, will work closely with various departments to ensure seamless operations and facilitate communication.

The role of the Senior Manager, Administration, is multifaceted, requiring a unique blend of administrative expertise, strategic thinking, and communication skills. This professional will be responsible for coordinating and facilitating organizational meetings, providing administrative support for labor-management activities, and maintaining confidential records. The ability to serve as an expert meeting host, handling technical setup, attendee management, and interactive features, is also essential.

What You Will Do

  • Coordinate and facilitate organizational governance and operational meetings, including meeting logistics, agenda development, documentation, and deliverables follow-through.
  • Provide administrative and operational support for labor-management activities, including maintaining confidential labor-relations records, bargaining-related documentation, meeting records, and management communications.
  • Prepare speakers, logistics, presentations, and documentation for organizational meetings in collaboration with the Director, Administration.
  • Serve as an expert meeting host, handling technical setup, attendee management, and interactive features to ensure high-quality participant experience.
  • Create and maintain documentation regarding administrative systems, policies, procedures, processes, and organizational resources.
  • Identify and escalate discrepancies, process gaps, operational risks, or system issues related to records, policies, or systems to the appropriate stakeholders and proactively support resolution efforts.
  • Identify, develop, and implement administrative processes, workflows, and operating procedures to increase efficiency, consistency, and organizational effectiveness.
  • Own recurring internal communication channels and processes, ensuring timely, accurate, consistent, engaging, and accessible information sharing across the organization.
  • Draft, coordinate, schedule, and distribute internal communications, such as monthly Operations newsletters.

What We Are Looking For

  • 5+ years of experience in administration, operations, or a related field.
  • Proven expertise in operational processes, internal communications, and administrative systems.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with meeting management and facilitation, including technical setup and interactive features.
  • Knowledge of labor relations and management policies.
