About the Role

The Service Delivery & Project Coordinator role is a critical component of Zella Technologies' operations, tasked with overseeing the operational flow of customer services, product fulfillment, vendor purchasing, project coordination, and account follow-through. This role requires a unique blend of organizational skills, attention to detail, and the ability to coordinate multiple moving parts. As the coordinator, you will sit at the nexus of various teams and departments, ensuring that nothing falls through the cracks and that all projects and services are delivered to the highest standard.

Day-to-day, you will be working closely with internal teams, vendors, and customers to ensure that all aspects of service delivery and project management are executed flawlessly. This includes managing quotes, orders, shipments, inventory, and configurations, as well as coordinating deployments, installs, and go-lives. Your ability to understand the company's service offerings and operational workflows will be key to your success in this role.

What You Will Do

  • Coordinate and manage customer services, including quote support, order placement, and follow-up
  • Oversee project management, including project coordination, deployments, and go-lives
  • Manage vendor relationships, including sourcing, pricing, and order reconciliation
  • Coordinate and manage inventory, including shipment tracking, receipt, and processing
  • Ensure accurate and timely documentation of all operational, customer, vendor, inventory, project, and service-related information
  • Identify and address documentation gaps and ensure that all necessary documentation is completed and up-to-date
  • Build standards, templates, and processes to improve documentation quality and consistency
  • Manage action items and operational accountability, ensuring that all tasks are completed and that projects are not considered complete until all required documentation has been finalized
  • Support internal operational accountability and follow-through, ensuring that all internal processes and procedures are followed
  • Coordinate with internal teams, vendors, and customers to ensure seamless delivery of services and projects
  • Validate vendor invoices and ensure that they are accurate and complete before submission to accounting

What We Are Looking For

  • 2+ years of experience in a coordination or project management role, preferably in a digital services or technology environment
  • Strong understanding of digital skills and remote work principles
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Strong communication and interpersonal skills, with the ability to work effectively with internal teams, vendors, and customers
  • Ability to learn and understand the company's service offerings and operational workflows
  • Experience with documentation and record-keeping, with attention to detail and accuracy
  • Strong problem-solving and analytical skills, with the ability to identify and address issues promptly
  • Ability to work in a fast-paced environment and adapt to changing priorities and deadlines
  • Strong technical skills, including proficiency in Microsoft Office and Google Suite
  • Experience with project management tools and software, such as Asana or Trello
