The Talent Acquisition Admin/OPS Support role at Kellermeyer Bergensons Services is a critical component of the company's hiring process. As a remote position, this role offers the flexibility to work from anywhere while being an integral part of the Talent Acquisition team. The successful candidate will be responsible for ensuring the operational excellence of the team, focusing on the administration of the Paradox applicant tracking system (ATS), optimizing workflows, and guaranteeing a seamless experience for both candidates and recruiters.The day-to-day responsibilities of this role are varied and challenging, requiring a high level of organizational skill and attention to detail. The ideal candidate will be adept at troubleshooting system issues, managing data accuracy, and ensuring compliance with all relevant regulations. What You Will Do
- Support the day-to-day operations of the Paradox ATS, ensuring it runs smoothly and efficiently.
- Troubleshoot system issues and escalate technical concerns as needed to the appropriate teams.
- Assist in high-volume client transitions, ensuring all data and systems are properly updated and configured.
- Ensure data accuracy, compliance, and proper system configuration, conducting regular audits to maintain the highest standards.
- Assist with the integration between the ATS, HRIS, and job boards to streamline the hiring process.
- Monitor job and candidate funnels to identify any inconsistencies or areas for improvement in the process.
- Distribute and support recruiting reports and dashboards, providing insights to the Talent Acquisition team.
- Audit data for job requisitions compliance and process adherence, making recommendations for improvements.
- Support interview scheduling automation and candidate communications, ensuring a positive experience for all parties involved.
- Track vendor SLAs and reporting accuracy, negotiating with vendors as necessary to ensure high-quality service.
- Identify inefficiencies in hiring workflows and recommend improvements, always looking for ways to optimize the process.
- Assist with system updates, enhancements, and new feature rollouts, staying up-to-date with the latest technologies and trends.
- Support audit preparation and reporting as required, ensuring all necessary documents and data are ready and compliant.
What We Are Looking For
- 2+ years of experience supporting Talent Acquisition, HR Operations, or Recruiting Operations, with a focus on administrative tasks and system management.
- Hands-on experience administering an ATS, with Paradox experience being highly preferred.
- Experience in high-volume or hourly hiring environments, understanding the fast-paced nature of these settings.
- Experience with ATS integrations and automation workflows, able to navigate complex systems with ease.
- Familiarity with HRIS systems and onboarding platforms, knowing how to leverage these tools for efficient hiring processes.
- Experience supporting chatbot or conversational AI hiring tools, staying ahead of the curve in recruitment technology.
- Working knowledge of recruitment and hiring compliance requirements, ensuring all processes adhere to relevant laws and regulations.
- Strong technical aptitude and the ability to learn new systems quickly, being adaptable in a constantly evolving technological landscape.
- Advanced attention to detail and data accuracy, with a keen eye for spotting discrepancies and errors.
- Proficiency in reporting tools and spreadsheets, such as Excel or Google Sheets, able to analyze and present data effectively.
- Strong communication and stakeholder support skills, capable of working with all levels of management and external partners.
