About the Role

The Tax Administrative Assistant role at Paired is a vital part of the company's mission to provide outstanding remote talent to leading companies. As a Tax Administrative Assistant, you will be responsible for ensuring the smooth operation of tax-related processes and fostering positive relationships with clients. Your day-to-day tasks will involve managing client communications, coordinating with various teams, and maintaining detailed records.

The Tax Administrative Assistant will work closely with the tax operations team to deliver exceptional service to clients. This role requires a high level of organization, attention to detail, and excellent communication skills. You will be the primary point of contact for clients, responding to their inquiries and providing updates on tax return status and workflow progress.

What You Will Do

  • Manage client communications via phone and email, ensuring timely responses to inquiries and requests.
  • Coordinate appointments and scheduling, ensuring that all parties are informed and up-to-date.
  • Route technical tax questions to the appropriate team members, ensuring that clients receive accurate and timely advice.
  • Contact the IRS and Franchise Tax Board regarding notices and correspondence, resolving any issues that may arise.
  • Pull tax transcripts and maintain detailed records, ensuring that all client information is accurate and up-to-date.
  • Request penalty abatements and assist with administrative tax resolutions, minimizing any potential penalties for clients.
  • Research balances, payments, filing history, and notices, providing clients with comprehensive information on their tax status.
  • Follow up on unresolved client matters, ensuring that all issues are fully resolved.
  • Assist with LLC formations and business registrations, ensuring that all necessary documentation is completed accurately.
  • Coordinate Secretary of State filings and Statements of Information, maintaining compliance with all regulatory requirements.
  • Support S-Corporation election filings, ensuring that all necessary paperwork is completed correctly.

What We Are Looking For

  • Prior experience working in a U.S. tax office, CPA firm, accounting firm, or tax resolution firm.
  • Experience handling IRS correspondence and tax-related administrative workflows.
  • Strong written and verbal English communication skills, with the ability to communicate complex tax information to clients.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • Comfortable speaking with clients and government agencies, with a professional and courteous demeanor.
  • Strong proficiency with Google Workspace and spreadsheets, with the ability to learn new software and systems quickly.

  • High school diploma or equivalent required, with a degree in accounting or a related field preferred.
