About the Role
As a Training Operations Intern at Bots and People, you will play a crucial role in the operational backbone of the company's training delivery. This involves planning and managing training sessions, coordinating with trainers and clients, and ensuring that all administrative tasks are handled efficiently. The twist that makes this role special is the integration of AI automation, where you will have the opportunity to apply AI tools to automate recurring tasks, making your job more efficient and future-proof.The company, Bots and People, specializes in building learning experiences that help teams adopt automation and AI in a practical, hands-on way. With a core team of 10 people and over 50 freelance trainers, the company has already made a significant impact by training 80,000+ employees across 30+ large enterprises. As an intern, you will work closely with the Head of Learning & Operations, the learning team, and the trainer network to ensure smooth operation of training sessions.
Your day-to-day tasks will involve a mix of planning, coordination, and automation. You will be responsible for aligning trainers with upcoming sessions, managing communications with learners, and translating materials between German and English. On the project controlling side, you will use Excel to track project progress, produce attendance reports, and prepare numbers for impact reviews. A significant part of your role will also involve identifying areas where AI automation can streamline processes, building automations using AI tools, and improving the internal Excel setup for better scalability.
What You Will Do
- Plan and schedule training sessions with trainers and clients across multiple enterprise projects in parallel
- Align with trainers on upcoming sessions, preparation needs, and logistics
- Coordinate meetings between internal team, trainers, and client stakeholders
- Send communications to learners: invitations, reminders, pre-work, follow-ups
- Translate presentations and session materials between German and English
- Manage session rescheduling when changes occur
- Run session aftercare: materials handover, follow-up messages, open questions
- Produce attendance reports for clients and internal tracking
- Prepare numbers for impact reviews (NPS, completions, adoption KPIs)
- Send purchase orders to trainers based on confirmed bookings
- Check incoming trainer invoices against POs and project plans, flag any discrepancies
- Identify recurring admin tasks for AI automation
- Build automations using AI tools, Power Automate, Make, Zapier, custom GPTs, or agent builders
- Improve internal Excel and project controlling setup for scalability
What We Are Looking For
- Genuine love for admin work, structure, and clean data
- Advanced Excel skills: pivots, lookups, nested formulas, conditional logic, data validation, ideally Power Query
- Super detail-oriented: ability to catch minor errors and discrepancies
- Reliable and structured: ability to take over tasks and ensure their completion
- Genuine curiosity about AI: experience or interest in playing around with ChatGPT, Claude, or similar tools
- Solid German and English skills: ability to communicate fluently and translate materials
- Currently enrolled at a university or recent graduate
Nice to Have
- Experience with project management tools
- Basic understanding of AI and automation principles
- Familiarity with Google Suite or similar productivity tools
- Previous experience in a similar admin or operational role
