About the Role

The Transaction Coordinator role at Expert VA is a critical component of the company's real estate team. As a highly organized and detail-oriented individual, you will be responsible for overseeing all aspects of buyer and seller transactions from the executed purchase agreement to closing. Your expertise in managing multiple real estate transactions, maintaining communication with clients and agents, and ensuring smooth and timely closings will be essential to the success of the team.

In this role, you will work closely with top-producing Realtors to coordinate and manage the transaction process. Your day-to-day responsibilities will include communicating with clients, agents, and other professionals to ensure that all parties are informed and up-to-date on the status of the transaction. You will also be responsible for maintaining accurate and detailed records of each transaction, using tools such as Excel to track progress and identify potential issues.

As a key member of the real estate team, you will be expected to work independently and as part of a team to achieve the company's goals. Your attention to detail, excellent organizational skills, and ability to work under pressure will be essential in this fast-paced environment.

What You Will Do

  • Manage multiple real estate transactions simultaneously, prioritizing tasks and deadlines to ensure timely closings
  • Communicate effectively with clients, agents, and other professionals to ensure that all parties are informed and up-to-date on the status of the transaction
  • Coordinate with local title companies to handle title ordering, lien checks, payoff requests, and closing schedules
  • Navigate unique Wisconsin timelines, including inspection, financing, appraisal, and contingency deadlines
  • Maintain accurate and detailed records of each transaction, using tools such as Excel to track progress and identify potential issues
  • Collaborate with local MLS and market center compliance to process files per brokerage and MLS-specific standards
  • Ensure compliance with Wisconsin WB Forms, including WB-1 Listing Contract, WB-11 Offer to Purchase, Amendments, and Addenda
  • Coordinate with attorneys, when necessary, to ensure smooth and timely closings
  • Develop and maintain a thorough understanding of Wisconsin real estate regulations, including DSPS rules and disclosure requirements

  • Proficiency with MLS systems and document management tools
  • Excellent organizational and communication skills

  • Proficiency in Excel and other software applications
  • Keller Williams experience strongly preferred
