About the Role

The Intake Paralegal role at Job Duck is a vital component of the company's legal team, responsible for guiding new clients through the initial stages of their legal journey. This position requires a unique blend of organizational skills, attention to detail, and exceptional communication abilities. As an Intake Paralegal, you will play a critical role in ensuring that all case files are accurately prepared and maintained, and that attorneys receive complete and well-organized documentation.

The day-to-day responsibilities of this role will involve conducting structured intake meetings with newly retained clients, coordinating with attorneys and internal team members, and maintaining detailed case notes. You will also be responsible for identifying missing information, following up proactively, and ensuring that all deadlines are met.

As a key member of the legal team, you will be working closely with attorneys, legal assistants, and other support staff to ensure that all cases are handled efficiently and effectively. Your ability to maintain professional, empathetic communication with clients throughout the intake phase will be essential in building trust and setting the tone for a positive client experience.

What You Will Do

  • Conduct structured intake meetings with newly retained clients to gather relevant information and documents
  • Coordinate with attorneys and internal team members to move cases forward efficiently
  • Maintain detailed case notes and ensure that all communication is properly documented
  • Identify missing information and follow up proactively to ensure that all necessary documents are received
  • Ensure that all case files are accurately prepared and maintained, and that attorneys receive complete and well-organized documentation
  • Provide clear explanations of procedural next steps while avoiding legal advice
  • Monitor intake-related deadlines and escalate issues when needed
  • Participate in meetings and contribute to process improvement initiatives
  • Maintain organized digital files and follow firm procedures for documentation, security, and confidentiality

What We Are Looking For

  • Strong written and verbal communication skills
  • High attention to detail and ability to maintain accuracy in a fast-paced environment
  • Proficiency in Google Workspace and experience with case management software (such as CLIO)
  • Emotional intelligence and professionalism, with the ability to maintain confidentiality
  • Proactive problem-solving skills and ability to work independently
  • Comfort using technology, digital files, and case management systems
  • Ability to maintain consistent follow-through and accuracy in deadline-driven environments
  • Experience working in a law firm or professional office environment as a Paralegal or Legal Assistant
  • Background in family law is strongly preferred

Nice to Have

  • Experience with Excel and other Microsoft Office applications
  • Knowledge of legal terminology and procedures
  • Certification as a Paralegal or Legal Assistant
  • Bilingual or multilingual skills (English and Spanish are preferred)
