The Virtual Scheduling Assistant plays a vital role in ensuring the smooth operation of Destination Careers' travel advisory team. As a key member of the support staff, this individual will be responsible for managing calendars, coordinating client consultations, and maintaining seamless communication with both clients and team members. What You Will Do
- Coordinate and manage calendars for multiple travel advisors to ensure efficient scheduling and minimize conflicts
- Schedule client consultations and supplier meetings, taking into account time zones and availability
- Send reminders and follow-ups for scheduled appointments to ensure all parties are informed and prepared
- Track and organize important deadlines and travel milestones, such as payment schedules and document delivery dates
- Support trip timeline management, including coordinating with travel advisors and clients to ensure smooth travel arrangements
- Communicate professionally with clients and team members via email, phone, and other communication platforms
- Maintain accurate records of client interactions, appointments, and travel arrangements
- Collaborate with travel advisors to ensure seamless client experiences and resolve any issues that may arise
- Stay up-to-date with industry developments and best practices in travel planning and scheduling
